Engaging school leaders with inspection reform
We worked with Estyn to deliver its National Headteacher Conference at Cardiff City Stadium. The conference helped to raise awareness about important inspection reforms and provide an opportunity for headteachers to share their views on emerging plans.
The event featured a keynote speech from Owain Lloyd, Director of Education and the Welsh Language in Wales, a panel of senior school leaders exploring their experiences of the pilot inspections and the provision of simultaneous translation in every breakout room.
Brief
We were asked to provide operational and logistical support for the education inspectorate’s National Headteacher Conference.
As well as facilitating a fully bilingual conference, we were also asked to develop and deliver marketing and promotional materials in order to secure 500 registrations and ensure the smooth running of breakout rooms with simultaneous translation.
Delivery
We provided end-to-end event management of the conference, from promotion to evaluation.
We produced a 3D floorplan of the event, establishing the location and layout of each breakout space.
Our design team developed an event-specific creative concept, ensuring there was a consistent brand identity across all touchpoints. This included the pre-event marketing, delegate communications and event signage and material.
We delivered an integrated marketing campaign, utilising digital channels to minimise the event’s carbon footprint and environmental impact. Stakeholders and partners were involved in the marketing campaign via the development of a promotional toolkit and accompanying assets.
We managed the pre-event and onsite bilingual registration processes, coordinated keynotes speakers and facilitated workshops on behalf of the inspectorate. Our AV team managed the delivery of all audio-visual elements of the event, including the simultaneous translation of multiple breakout sessions to ensure delegates were able to engage with the event in their preferred language.
Following the event, we supplied Estyn with video highlights showcasing the success of the event.

Results
The event was a huge success and final delegate numbers were well in excess of the client’s expectations. Feedback from delegates praised the organisation and ease of registration as well as the programme and use of Welsh language.
